1. Acceptance of Terms

By accessing and using Swift Payrolls ("the Service"), you accept and agree to be bound by the terms and provisions of this agreement. If you do not agree to these terms, please do not use the Service.

2. Service Description

Swift Payrolls is a payslip generation platform aimed at households and small to medium businesses, built to move employers away from spreadsheets, macros, and other cumbersome workflows. WE ARE NOT A PAYROLL ADMINISTRATOR and do not act on behalf of employers for statutory submissions or payments. Our focus is intentionally limited to payslip creation.

The platform supports current SARS PAYE, UIF, and SDL calculation tables for payslip generation purposes, updated in line with published SARS changes. Employers remain responsible for all statutory submissions and filings, including EMP201, EMP501, and IRP5/IT3(a).

Our service includes:

  • Employee management and record keeping
  • Payslip generation with accurate PAYE, UIF, and SDL calculations
  • Payroll reports and analytics (plan dependent)

Starter Plan (Free)

Essential Plan (R9.99/month)

  • 5 payslips per month

  • Standard customer support
  • All basic features included

Premium Plan (R29.99/month)

  • 100 payslips per month
  • Advanced reports and analytics
  • Priority customer support
  • All essential features included

4. Payment Terms

Paid subscriptions are billed monthly in advance via Paystack, a trusted third-party payment provider. Swift Payrolls does not store or process card or banking details directly. By subscribing, you authorize us to charge your payment method on a recurring basis until you cancel.

  • All fees are in South African Rand (ZAR)
  • Payments are processed securely through Paystack
  • Subscription automatically renews unless cancelled
  • No partial month refunds for cancellations

5. Cancellation & Refund Policy

Cancellation

You may cancel your premium subscription at any time through your profile page. Upon cancellation:

  • You retain premium access until the end of your current billing period
  • No further charges will be made
  • You can reactivate your subscription after the current period expires

Refunds

We offer refunds under the following conditions:

  • 7-Day Money-Back Guarantee: If you're unsatisfied within 7 days of your first payment, contact us for a full refund
  • Service Failure: If the Service experiences extended downtime (more than 48 consecutive hours) due to our fault, you may request a pro-rated refund
  • Billing Errors: If you were charged incorrectly, we'll refund the difference immediately

No refunds are provided for: Partial month usage after the 7-day period, cancellations mid-billing cycle, or violations of these terms.

6. Dispute Resolution

If you have any concerns or disputes regarding the Service:

  1. Contact Us First: Email us at support@swiftpayrolls.com with details of your concern. We'll respond within 48 business hours.
  2. Escalation: If not resolved, you may escalate to our management team at disputes@swiftpayrolls.com
  3. Mediation: For unresolved disputes, we agree to good-faith mediation before pursuing legal action.
  4. Jurisdiction: These terms are governed by South African law. Any legal proceedings will be conducted in South African courts.

7. User Responsibilities

You agree to:

  • Provide accurate employee and payroll information
  • Maintain the security of your account credentials
  • Ensure all payroll practices meet your local legal requirements
  • Verify all payroll calculations before processing payments to employees
  • Not share your account with unauthorized users
  • Not use the Service for any illegal purposes

8. Data Accuracy & Liability

While we strive for accuracy in all calculations:

  • You are responsible for verifying all payroll data and calculations
  • We are not liable for errors resulting from incorrect input data
  • We update tax tables to reflect current rates but recommend verifying calculations independently
  • The Service is a tool to assist with payroll; final responsibility rests with you as the employer
  • Swift Payrolls is not a licensed tax advisor or compliance service
  • Users should consult with qualified professionals for tax and legal advice

9. POPIA & Data Protection

Swift Payrolls is POPIA-compliant. Access to the platform is secured using industry-standard authentication mechanisms, including JWT-based session security.

  • Personal and payroll data is securely stored and protected using modern encryption and access controls
  • We do not share payroll or personal data with any third parties under any circumstances
  • Third-party services (such as Google infrastructure) are used strictly as technology providers and do not have access to or ownership of customer data

10. Service Availability

We aim for 99.5% uptime but do not guarantee uninterrupted service. We may perform scheduled maintenance with advance notice. We are not liable for losses due to temporary unavailability.

11. Changes to Terms

We reserve the right to modify these terms at any time. We'll notify users via email of significant changes. Continued use after changes constitutes acceptance of the new terms.

12. Account Termination

We may suspend or terminate your account if you:

  • Violate these terms
  • Engage in fraudulent activity
  • Fail to pay outstanding fees
  • Use the Service in a way that harms our systems or other users
