How to do this on Swift Payrolls

Sign up or log in
Create an Essential or Pro account, or log in to your existing employer account.

Create or select the employee
Add the employee once, then reuse the saved employee record for later payroll runs.

Calculate payroll
Enter the salary, hours, overtime, employee age where needed, and UIF status so the payroll summary can be calculated.

Open the editable preview
Choose Preview & Edit Payslip. This opens the payslip preview instead of immediately creating the final PDF.

Name each extra line
Use Add income or Add deduction, type your own label, enter the amount, and remove the line if it no longer applies.

Generate the final PDF
When the preview is correct, click Generate PDF. The PDF uses the edited totals and labels from the preview.
Why editable preview matters
Real payroll rarely stays limited to basic salary. Employers may need to show commission, bonuses, transport allowances, staff advances, uniform deductions, medical aid, or provident fund deductions. A preview step reduces the chance of sending a document that needs to be corrected later.
What the preview changes
Custom income increases the payslip gross amount and custom deductions reduce the net amount. Swift Payrolls recalculates the visible totals so the final PDF reflects the edited preview.
What the preview does not replace
The editable preview is not a tax ruling or payroll advisory service. If a line item needs special tax treatment, review it before generating the PDF and confirm the treatment with a qualified adviser where necessary.

Can I rename the extra fields?
Yes. The custom income and custom deduction fields use the label you type in the preview.
Can I add commission to a payslip?
Yes. Add commission as a custom income line in the editable preview, then review the recalculated totals before generating the PDF.
Can I remove an extra field before generating the PDF?
Yes. Each custom income or deduction line can be removed from the preview before the final PDF is created.
